Over the last few months you and Ms. Emmanuel have noticed that nearly everyone has their phones out for at least part of the meeting time. As a result, it�s hard to finish on time because things have to be repeated; volunteers are missing important information resulting in inefficient or inaccurate client service, which in turn makes Wellness Village look bad. Ms. Emmanual thinks she needs to set a new �no technology� policy for meetings, and she�s asked you to write a memo to accomplish this goal.
What do you need to consider before proceeding? How will you use your knowledge of your audience to carefully craft this communication? How do you keep from offending your readers (even though their behavior has been offensive!)
You will be writing a �bad news� memo. While the memo will deliver what will probably be regarded the use of cellphones, it must still be persuasive�in this case, your audience has the added level of complication that they are unpaid volunteers and you need them! If upset or offend them, they may go away. Therefore, the task at hand is to announce the policy AND persuade the readers to agree and go along with it. You want them to �buy in.�
The final memo will go out with your supervisor�s name on it, so the tone and style should befit the director of an organization, and reflect his or her persona.The memo should be single-spaced, error-free, and carefully proofed before submission. It should be one single page. Make up a letter-head.
