Observe Records Storage Equipment and Supplies in Use

Visit a local office to observe the records storage equipment and supplies currently being used. This cannot be an office where you or a family member is currently working or have worked. Use the following questions as well as additional questions you came up with to gather information.

Since this is a small office the HR department has just two Lateral file drawers.
Because of the office being so small the only security used for the drawers is a key which is hidden;
there has never been an issue with employees trying to snoop or anything like that.
One file drawer has all the employee records such as; time sheets, W-2 information, bank information,
etc.
The other information that this file drawer holds are purchase order information from vendors, to client
documents such as service orders, to the Amex bill and phone bills.
The other Lateral file drawer contains the same information but from previous years.

Hanging green folders separate the manila folders used for filing.
Labeling for service orders for clients’ names are marked A-Z and they are filed by first name.
Vendor (merchandise purchasing) information is labeled by vendor (Newegg, Synnex, Dell,) and is filed
alphabetically with the most recent in front.
I was not allowed to see the how the employee information was filed due to legal reasons but she told
me that they were filed in manila folders by the employee’s last names.
All the “to-be-paid” are filed in the very first drawer after the “paid” folder.
The “paid” folder is just one manila folder inside a hanging green folder – no specific organization
method to be used here.
You can tell they have been paid because they are stamped and have the paystub receipt attached to it.

Labeling for service orders for clients’ names are marked A-Z and they are filed by first name.
Vendor (merchandise purchasing) information is labeled by vendor (Newegg, Synnex, Dell,) and is filed
alphabetically with the most recent in front.
I was not allowed to see the how the employee information was filed due to legal reasons but she told
me that they were filed in manila folders by the employee’s last names.
All the “to-be-paid” are filed in the very first drawer after the “paid” folder.
The “paid” folder is just one manila folder inside a hanging green folder – no specific organization
method to be used here.
You can tell they have been paid because they are stamped and have the paystub receipt attached to it.
