This information is required to provide support to the recruitment, selection and induction process. The first assessment will focus on the planning stages of this process and the second assessment involves demonstration of the interview and selection process.

Scenario

You are the Recruitment Officer in your chosen organisation and have been asked to assist with the recruitment, selection and induction of a new Administration Assistant reporting to the Senior Finance Manager, supporting the Finance Team consisting of three Specialists.
The current incumbent in the role is resigning to take an extended career break and has offered six weeks’ notice. The Senior Finance Manager has requested that this role be filled prior to the current Administration Officer leaving so that a hand over of at least one week can be achieved.

The demand on this role is developing so the Senior Finance Manager would like someone that can be developed as the role grows. With this in mind, it is recommended that the right candidate would have an interest in accounting and be someone who is currently studying or planning to study this discipline.

The role will be permanent full-time and attract a market competitive base salary of between $44,000 to $47,000 plus superannuation based on the applicant’s skills and experience. There is also an all employee incentive scheme of up to 10% of the employee’s base salary which applies to the roles package.

Part A: Short Answer Questions – Selection and induction

Continuing on from the activities completed in assessment 31454/01, complete all of the tasks set out below and submit as evidence for assessment.

1. Prepare a selection report including a recommendation for submission to the Senior Finance Manager. This should be based on the outcome of the selection meeting held in assessment 31454/01, video 2. (Approximately 250words)

2. Complete the employment contract to be presented to the successful applicant. (Approximately 750 words)

3. Develop an induction checklist for use when on boarding the new Administration Assistant. Include the following: (Approximately 150words)

Part B: Short Answer Questions – Communication

4. Based on the scenario above, develop the following communications to support the recruitment process: (Approximately 150-200 words per communication)

4.1. A message to the Senior Finance Manager requesting confirmation and approval of the Administration Assistant vacancy. Clarify the initial details of the role, request information regarding any special requirements (such as specific qualifications, capabilities, attributes, learning styles, personality types, diversity considerations etc.) confirming the timeline for the position to be filled.

4.2. A message to the Senior Finance Manager requesting confirmation of the updated Administration Assistant position description. Include reference to the general details as well as any special requirements included.

4.3. A message to the Senior Finance Manager requesting approval to advertise the Administration Assistant position.

4.4. A message to the Senior Finance Manager and Finance Team requesting one or two participants to join the selection panel in the interview process for the Administration Assistant position. Outline what would be involved and provide an estimated timeline for this process.

4.5. A message to a candidate to advise them of the interview details including time, date, venue, participants and anything that the candidate should bring.

4.6. A message to the members of the selection panel advising them of the interview details including candidates name and key details, interview guide (questions), time, date and venue.

4.7. A message to be sent to the preferred candidates referee, requesting they complete a referee report for the applicant.

4.8. A message to the successful candidate confirming their appointment as discussed with the Senior Finance Manager. Include confirmation of their appointment, the role, the reporting line and their commencement date. Request their confirmation of acceptance so that you may generate their employment contract.

4.9. A message to an unsuccessful candidate advising them of the outcome of their application.

4.10. A reply message to an unsuccessful candidate who has asked you to retain their application should other Administration positions become available. Include details of the process for keeping, storing and using previous applications.

4.11. A message to the successful candidate including their employment contract.

4.12. A message to the Senior Finance Manager and Finance Team advising them of the successful applicant’s appointment. Include details of their start date and a highlight of their key experience and skills.

4.13. A message to the Payroll Department advising of the successful applicants appointment. Include a copy of their signed contract and request that they process the new starter, create a new employee file (electronic and physical file) with a copy of the information included filed in line with confidentiality and privacy requirements.
